Request access to data via the data basket

Use the following options to see the documentation in the latest UI or in the previous, classic UI:

The data basket is a feature that allows you to add assets to a basket and start an access request workflow when you check out the basket.

Requirements and permissions

You have a global role that has the Workflows > Start Workflow global permission.

Steps

  1. Add assets to your basket by doing one of the following:
    Searching
    1. In Collibra Data Intelligence Platform, search for the asset you need and click the name.
      The asset page of the asset opens.
    2. Click Add to Data Basket.
    Navigating
    1. On the main toolbar, click Products icon, and then click Catalog.
      The Catalog Home opens.
    2. Navigate to one of the tabs, such as Data Sets and select the checkboxes for the assets that you want to access.
    3. Click Add to Data Basket

    1. In Data Marketplace, search for the asset you need and click the name.
      The asset preview opens.
    2. Click Add to Basket.

    A message in the upper-right corner indicates that the asset has been added to your basket.
    A Data Usage asset is created in Collibra Data Intelligence Platform.

  2. Open your basket by clicking .
    Your data basket opens. It shows all assets you have added to your shopping cart.


  3. Validate that you want access to all the assets in the basket.
    You can remove an asset by clicking .
    You can remove assets from the data basket by clicking the relevant tiles, and then clicking Remove from data basket.


  4. When you are ready, click Checkout Data BasketCheck out Data Basket.
    A dialog box appears.
  5. Enter the required information and click Submit.
  6. If the Add Purpose to the Data Usage dialog box appears, select the Purpose that describes the business case for which you are requesting access to the data. Then click Submit.
    Note This dialog box appears only if Data Privacy is activated.

The out-of-the-box Request Assets Access workflow starts.
The Request Assets Access workflow allows you to request access to assets that are added to your Data Basket. All data owners have to approve the request before you can access the assets. For more information about the workflow, go to Catalog Workflows.

You can view all your requests and their current status on the Access Requests page.

The Data Usage asset is renamed with the format YYYY-MM-DD #X, where X is a sequential number, for example 2019-12-16 #3.

About the Data Usage asset

The Data Usage asset is created in the Data Usages domain. The name of the Data Usage asset is "USER_BASKET_" followed by the UUID of the user. The Data Usage asset page shows all of the important information related to the access request including:

  • The assets to which access is requested.
  • The purpose for requesting access to the data.
  • The access start date and end date.

Tip The Data Usages domain is a hidden domain in the Business Analysts Community. This means it doesn't appear in the Collibra Browser, which helps to avoid it being inadvertently deleted. To view the Data Usages domain, go to the Access Requests page and click the name of a Data Usage asset. The Data Usages domain appears in the breadcrumb, on the Data Usage asset page.
