Register an AI use case (Beta)

To register a new AI use case, you need only provide a name and description, describe the audience, select a status, and assign an owner. That's it. After that, the Owner that you specify is assigned a task, prompting them to conduct an assessment of the use case. The assessment is designed to help you determine the value of your use case and identify any associated risks.

Important When registering a new use case, you can select the Use Case Stage. The value you select, for example "Development", will be shown in the Use Case Stage field on the AI Use Case asset page. However, all AI Use Case assets are created with the status Ideation. This has caused confusion in beta testing. In Collibra 2024.05, we will eliminate this discrepancy. You will not be prompted to specify the Use Case Stage when registering a new use case. All AI Use Case assets will still be created with the status Ideation.

Requirements and permissions

  • You have a global role that has the Business Semantics Glossary global permission, for example Glossary.
  • You have a resource role with the following resource permissions, on the out-of-the-box AI Governance domain:

    • Asset > Add
    • Attribute > Add
    • Responsibility > Add

    Tip We recommend assigning the Community Manager resource role for the out-of-the-box AI Governance domain, to anybody who will be registering and editing AI use cases. The Community Manager resource role comes with the resource permissions you need to add and work with assets, attributes, responsibilities, comments, statuses, and more.
  • The Owner of the AI use case, whom you specify in the following procedure, must have a global role that has the Product Rights > Assessments global permission, for example Assessments.

Steps

  1. On the Business Steward landing page, click Register AI Use Case.
    The Register AI Use Case dialog box appears.
  2. Enter the required information.
    FieldDescription
    NameThe name of the AI Use Case asset.
    DescriptionThe purpose of your AI use case proposal and its potential use of AI.
    Target Audience The type of user that is likely to interact with your AI use case, for example Internal or Customer Facing.
    Use Case Stage

    The current status of your AI use case, for example:

    • Ideation: The AI use case is just a concept, to be reviewed with regard to value and risks. It is not yet used in production. It can be considered a proof of concept.
    • Development: The AI use case is in, or is ready to enter, the development process.
    • Monitoring: The AI use case in production, is actively used and monitored with regard to business value and risks. AI models are monitored with regard to performance, reliability, and accuracy.
    Owner

    The Collibra user or user group who will act as the owner of the use case. The user or user group you select:

    • Is assigned the Owner resource role for the AI Use Case asset.
    • Is responsible for coordinating the completion of the Register new AI Use Case assessment.
  3. Click Register.
    A new AI Use Case asset is created in the out-of-the-box AI Governance domain, and shown on both the Business Steward and the Legal Reviewer landing pages.
    The Register AI Use Case workflow is triggered. The Owner of the AI Use Case asset is notified and prompted to start an assessment.

What's next?

  • Edit the AI Use Case asset, as necessary.
    Important 

    Be mindful of the edits you make before the Register new AI Use Case assessment is completed and approved. When the assessment is approved, the Copy assessment answers to AI Use Case asset workflow is triggered. This workflow automatically copies many of the responses that were provided in the assessment to the AI Use Case asset page. If you edit the attributes of an AI Use Case asset before the assessment is approved, the values will be overwritten by the workflow, when the assessment is approved.

    Tip If you would like to manually fill out the details of the use case without conducting the Register new AI Use Case assessment, you can disable the Register new AI Use Case workflow in Settings. You can then add details to the asset page as you would an asset of any other type, knowing the values won't be overridden by an assessment. When you're on the asset page, remember to switch on the Show empty values option, to see all of the available fields.
