Import complex relations

You can import complex relations with the import functionality. For example, this is useful if you want to create a lot of complex relations in one go.

Tip

For importing complex relations using an Excel file, go to the knowledge base on the Collibra Support Portal.

For example, you can use the import functionality to do the following:

Create assets in a new or existing domain.
Add and edit characteristics of existing assets.
Edit the display name or full name of existing assets.
Move assets to a new or existing domain.

Note

Importing assets and complex relations is restricted by the file upload settings, which define the maximum file size, allowed file extensions, and maximum amount of uploads and downloads per day. Contact Collibra Support to change the file upload settings. The default maximum file size is 512 MB. You can edit file upload settings in Collibra Console. The default maximum file size is 10 MB.
When importing Excel files, you may encounter an error with the file being too large. If this is the case, split the file into multiple smaller files or use CSV.
Importing data from a large Excel file can consume a lot of memory. We advise you to import from CSV instead of Excel, or to limit the Excel file to only contain the data you really need.
Avoid using Excel formulas, such as such as COUNT or COUNTIF, since they also consume a lot of memory.

Prerequisites

You have a global role with the Import global permission.
You have resource responsibilities that allow you to add or update assets or responsibilities for each community and domain where you want to perform the import operation. For complex relations, the permissions extend to the communities or domains that contain the assets referenced by the complex relation.
You have prepared an Excel file for upload:
- Only the essential sheets, columns and rows remain.
- Numbers that need to be interpreted as text are preceded by a single quotation mark.
- Dates are formatted as yyyy-mm-dd.
- Any Excel formulas are removed.
- The related assets to connect for a single complex relation must be specified in a single cell.
- Your import file has the correct structure to import complex relations.

Steps

Open a view.
Tip For an export-import round trip, open the same view you have used during export.
Above the table, to the right, click Import → Complex Relations.
The Import dialog box appears.
Drag and drop the file or click Upload a file and choose the appropriate Excel file for upload.
Click Next.
In the drop-down list, select Complex Relation Type.

Select the Asset unique identifier by which to map the import file. The options include:

Field	Description
Asset ID	The import file will be mapped by Asset ID. If this is selected, the Asset ID must be listed in the Mapped Items.
Full Name, Community, Domain	The import file will be mapped by Full Name, Community, and Domain. If this is selected, the Full Name, Community, and Domain fields must be listed in the Mapped Items.

Manage the mapping of the fields of the import file and your Collibra resources:

The Import mapping dialog box appears and Collibra tries to map the table headers in your import file to Collibra resources based on the names of the columns and the available columns in the view you have started the import from.

Tip If you are performing an export-import round trip, all columns are mapped automatically.

Field	Description
Automap	This button lets Collibra automatically map all table headers in the import file to Collibra resources, based on their names.
Clear	This button removes all mappings.
Mapping table	This table enables you to map table headers in the import file to Collibra resources. Each row in the table has a background color to indicate whether the table header is mapped or not. Green: When the table header from the import file is mapped to a Collibra resource the row will be highlighted in green. Red: After clicking the warning about unmapped items these rows will be highlighted in red and moved to a separate section at the bottom of the table. Once a table header in the unmapped section has a mapping selected, it will be moved to the green mapped section. You can use the Automap button to automatically map a table header, unless you have already manually changed the mapping. If you manually change a mapping, then auto-mapping will no longer override this selection. An individual mapping can be cleared by using the cross icon in the Table Headers column. If a relation type in your file matches with multiple relation types in Collibra, then it will not be auto-mapped, meaning you will be required to map this relation type manually. This is to avoid any incorrect mapping.
Table Headers	This column contains the field name of the table headers in your file.
Collibra Resources	This column shows to which Collibra resource the file field is mapped. If the field is unmapped, then there is a drop-down list with the available Collibraresources. For relations, a hierarchy is shown.
Complex Relation Type	Select the complex relation type you want to use for mapping.

Click Automap to let Collibra automatically map all previously unmapped columns.
If required, manually map columns to another resource.
Note When importing new assets, ensure you provide and map the following information:
- The full name.
- The asset type.
  Tip The import wizard can determine the asset type of the related assets based on the asset types of the complex relation.
- The domain.
Click Next.
The import options appear.

Enter the required information.

Setting	Result
Test import	Collibra first simulates an import without affecting the data to give you an overview of how the actual import would affect the data. After the overview, you can proceed with the import, go back to change the options or cancel the import.

Click Test Import.
The test results appear.
If the simulated results match your expectations, click Import.
Tip If they don't, click Back to change the mapping or import options.
The import results appear.
Click Close.
