View and edit responsibilities

Use the following options to see the documentation in the latest UI or in the previous, classic UI:

You can view the responsibilities for a resource in the following locations:

  • In the Responsibilities tab of a resource.
  • In any view that displays communities, domains or assets, in the specific column or field for that role:
    Note 
    • Each role has its own field or column.
    • Depending on the settings in Collibra Console, you may also see the inherited responsibilities.
  • In the Responsibilities tab of a user profile.

    Note Only 300 responsibilities are visible at one time, even if more exist in the system.

  • In the Responsibilities tab of a user group page.
  • In the Preview pane of an asset.

Editing responsibilities

You can add or remove responsibilities:

  • By adding or removing a resource role to or from a user or user group on the responsibilities page of a resource.
  • By adding or removing a user or user group in the role column of an asset table.

Important For optimal performance and ease of use, add responsibilities mainly on domains and communities and not directly on assets. Adding responsibilities directly on large amounts of assets may lead to decreased performance.

  1. Open a community, domain, or asset page.
  2. In the tab panebar, click Responsibilities.
    The Responsibilities page appears.
  3. To add a responsibility:
    1. In the upper-right corner of the Responsibilities section, click Add.
      The Add responsibility dialog box appears.
    2. Enter the required information.
      OptionDescription
      RoleEnter the role that you want to assign to a user or group for this resource.
      PeopleUsers or groups Enter the users and user groups to which you want to assign a role for this resource.
    3. Click Add.

      For the new license model, the Updating Responsibilities dialog box appears. It contains a summary of the changes to the number of Contributor or Creator seats as a result of the action you are about to perform. Click Confirm to proceed or Cancel to go back to the Add responsibility dialog box.

      The users or user groups appear under the assigned role in the Responsibilities section.

  4. To delete a responsibility:
    1. Hover your pointer over the name of the user or user group you want to remove from a role.

      Note You cannot remove inherited responsibilities.

    2. Click Trash icon.

      The Delete dialog box appears.

    3. Click Delete.

      The user or user group no longer appears under that role in the Responsibilities section.

  1. Open a table that displays communities, domains or assets.
  2. If required, add the column of the role that you want to edit.

    Note Depending on the settings in Collibra Console, you may also see the inherited responsibilities. You cannot edit these inherited responsibilities.

    Tip You can filter the columns first to edit responsibilities to specific resources in one go.

  3. Do one of the following:
    • Double-click a cell in the column of the role.
    • Hover your mouse over a cell in the column and click .
  4. Double-click a cell in the column of the role:
    • To add a responsibility, select a new user or user group.
    • To remove a responsibility, click Close icon next to a user or user group.

    • If required, select Apply to visible rows.

      This edits the responsibilities of all visible rows.

  5. Edit the responsibility:
    • To add a responsibility, select a new user or user group.
    • To remove a responsibility, click next to a user or user group.
    • If required, select Apply to visible rows.

      This edits the responsibilities of all visible rows.

  6. Click .
  7. Click outside of the cell to save the configuration.
