Template actions
Choose an option below to explore the documentation for the latest user interface (UI) or the classic UI.
The action bar in an assessment template provides access to actions that you can perform on the template.
Button | Description |

Copy template | This button is shown only on an out-of-the-box template. The button enables you to make a copy of the out-of-the-box template. Note The new template (copy) is added to the Custom templates section of the template gallery, with the version as v1 and the status as Draft. |
Discard draft | This button is shown only on a customized template that is in the Draft status. The button enables you to revert to the previous version of the template, regardless of the status of the template and whether or not you edited the template. Note

Save draft |
This button is shown only on a customized template that is in the Draft or Published status, and this button is enabled only when you edit the template. The button enables you to save the changes that you have made to the template. Note

Publish |
This button is shown only on a customized template that is in the Draft or Published status, and this button is enabled only when you edit the template. The button enables you to publish the template, which changes the status of the template to Published. Note

This button closes the template without saving your changes. Note If you click the button, the status and version of the template do not change. |

Notifications |
The Notifications option becomes available only after a template is created. Notifications in a template are enabled by default. When enabled, an email is automatically sent to someone whenever they are set as the owner or assignee of a draft assessment that uses the template. The Notifications option simplifies communication by ensuring that everyone involved in an assessment is promptly informed. It applies to all versions of the template. If you switch on the Notifications option in the latest version of a template, it also affects assessments that were created using older versions of the same template. For example, if an assessment was conducted using an older version of the template and you switched on the Notifications option in the new version of the template, the change is applied to that old assessment as well. You don’t need to click Publish on the template for the change to be applied—it is applied automatically. For more information, go to Assessment notifications. |
Save as New Template |
The Save as New Template button is available only for Collibra templates, and it becomes enabled only when you edit the template. It allows you to create a copy of the template. The new template (copy) is created with version V1 and status Draft, and it is added to the Custom Templates section on the All Templates page. |
Discard Version |
The Discard Version button is available only for draft custom templates with a version greater than 1. It allows you to revert to the last published version of the template. |
Delete |
The Delete button is available only for custom templates. It allows you to permanently delete the template. If you delete a published template, it is still archived in the Collibra repository because some assessments may still be using the deleted template. |
Save |
The Save button is available only for custom templates, and it becomes enabled only when you edit the template. It allows you to save your changes to the template. If the status of the template is Draft and you click Save, the status remains Draft and the version doesn't change. If the status of the template is Published and you click Save, the status becomes Draft and the version is incremented. |
Publish |
The Publish button is available only for custom templates, and it becomes enabled only when you edit the template. It allows you to publish the template, which changes the status of the template to Published. If the status of the template is Draft and you click Publish, the status becomes Published and the version doesn't change. If the status of the template is Published and you click Publish, the status remains Published and the version is incremented. |
Export |
The Export button is available only for published custom templates. It allows you to export the template, which you can then import into another Collibra environment. If you want to use a template in another Collibra environment, export the template and then import it into that environment. This feature is useful for importing a custom template from a testing environment to a production environment. |
