Attachments

About attachments

An attachment is a file that you upload to an asset, domain, or community, for example, reference materials or other documents related to the resource.

You can use attachments to store images uploaded in the following areas:

  • Rich text attributes on an asset page.
  • Description on a domain or community page.
  • Comments added to an asset, domain, or community page.

You can also use attachments to attach a limited set of reference documents.

Note The Attachments feature isn't meant to allow Collibra to be used as an alternative for a file storage system such as Amazon S3 or Google Drive. Collibra doesn't include functionalities such as file versioning, setting download access differently per individual file, or uploading large files. If you want to use such functionalities, store your file on a file storage system and create a link to it in a rich text attribute or comment.

You can find attachments on the Attachments tab on asset, domain, and community pages. The number of attached files is shown next to the Attachments tab. To easily find the right attachment, you can sort and filter the attachments per asset, domain, or community page by the following:

  • File name
  • File type
  • Uploaded by
  • Uploaded on

You can find attachments on the Files tab on asset, domain, and community pages.

Note 
  • Adding and removing attachments doesn't change the asset's last modified date.
  • Uploading attachments is restricted by the file upload settings. Collibra administrators with access to Collibra Console can manage these settings.

Add an attachment to a resource

Prerequisites

You have a resource role with the Attachment > Add resource permission on the relevant asset, domain, or community.

Steps

  1. Open the asset, domain, or community.
  2. Click the AttachmentsFiles tab.
  3. Drop the file to the upload area. Alternatively, you can click within the upload area, find the file, and then click Open.The file is shown in the table.

Limitations

Note 
  • Adding and removing attachments doesn't change the asset's last modified date.
  • Uploading attachments is restricted by the file upload settings. Collibra administrators with access to Collibra Console can manage these settings.
Setting Setting description

Max file size

Maximum file size allowed for an upload, in bytes.

Max per day Maximum number of files a user is allowed to upload in a day.
Accepted content types Use the MIME type format. For more information, go to the Complete MIME Types List.
Restricted content types Content types in MIME type format that can't be uploaded. Restricted content types take precedence over accepted content types.

Remove an attachment from a resource

Prerequisites

You have a resource role with the Attachment > Remove resource permission on the relevant asset, domain, or community.

Steps

  1. Open the asset, domain, or community.
  2. On the AttachmentsFiles tab, select the attachment you want to delete, and then click Delete.

Note When an attachment is referenced as an image or link in a comment, rich text attribute, domain description, or community description, removing the attachment results in a broken reference.
