2024.05 permission updates

Starting with Collibra version 2024.05, there are new permissions that help you manage user access at a more granular level.

New global permissions in Collibra 2024.05

Assessments > Conduct Assessments Allows users to conduct, edit, copy, delete, and make assessments obsolete, including only public assessments and those that they own or are assigned. Standard Contributor
Assessments > Manage Templates Allows users to view, create, edit, and manage assessment templates. Standard Creator
Data Notebook > Manage all notebooks Allows users to manage notebooks. A user who has this permission can view the content in all the notebooks regardless of who created the notebooks, even including private notebooks via direct links. Therefore, consider giving this permission to only users who have the Sysadmin global role. Standard Creator
Data Notebook > Manage data sources Allows a user to register data sources for Data Notebook and also remove the registered data sources. Standard Creator
Data Notebook > Manage settings Allows a user to customize settings for Data Notebook, such as chart colors and number formatting in query results. Standard Creator
Product Rights > AI Governance Allows users to access AI Governance. Read-only Viewer
Product Rights > Data Notebook Allows users to access Data Notebook and create notebooks. Standard Contributor
Product Rights > Data Quality Allows users to access the assets, relations, and workflows required to support the integration of Collibra Data Intelligence Platform with Collibra Data Quality & Observability. Read-only Viewer
Product Rights > Guided Stewardship Allows users to access Guided Stewardship tools such as the Physical Data Connector. Read-only Contributor
Workflow > Participate in workflow Allows users that meet workflow task configuration requirements to be assigned and complete workflow tasks. Read-only Contributor
Workflow > Start workflow Allows users that meet workflow configuration requirements to start workflows. Read-only Contributor

Important changes

Starting with Collibra version 2024.05 and the introduction of new global permissions, users that require access to the following products or features must now have a global role with the new permissions for these products or features:

  • Workflows: Start workflow and Participate in workflow for users that are required to start a workflow or complete a workflow user task. To take full advantage of the new permissions, add them just to the roles that require them. To keep the current functionality as it is and allow all users to start and participate in workflows, create a new global role that has both the permissions and add the Everyone group as a member.

    Note Although these permissions require a Read-only license, when users who do not consume a Standard license participates in or starts a workflow, they retain their Read-only license but are counted against a Standard license for the current calendar month. This number is then reset at the start of the following calendar month.

    Important 
    • These permissions are not included by default in any global role. You must assign the permissions to the global roles that you want to be able to perform these actions.
    • Users that have a global role with the Workflow Administration or System administration global permissions do not require these permissions explicitly.
    • Users without the Start workflows permission might not be able to see the Plus icon global create button anymore.
  • AssessmentsConduct Assessments and Manage Templates for users that are required to conduct assessments from existing templates or create new templates and manage existing templates.
  • Product Rights:
    • Data Quality for users that require access to the Data Quality tab and its functions on Catalog table and column assets.
    • Guided Stewardship for users that require access to tools such as the Physical Data Connector.
    • Data Notebook (new) for users that require access to the new Collibra Data Notebook product.
    • AI Governance (new) for users that require access to the new Collibra AI Governance product.
  • Data Notebook (new) is a suite of functionality that enables analysts to connect to, query, and derive insights from the data sources available in Collibra. Through an intuitive notebook editing experience and built-in SQL editor, they can create, share and reuse information-rich notebooks, enabling sharing and discovering insights driven by data:
    • Manage all notebooks (new) for administrators that are required to access and manage all data notebooks in Collibra.
    • Manage data sources (new) for administrators that are required to manage all Data Notebook data sources, defining which data sources can be queried through data notebooks.
    • Manage settings (new) for administrators that are required to manage the settings of their Data Notebook experience.
