View used licenses

As an administrator, you can view how many licenses of each type are currently in use.

Note The information in this table is, by default, refreshed nightly.

Steps

  1. On the main menu, click , and then click Settings.
    The Collibra settings page opens.
  2. Click Users and groups.
    The Users tab showing the user and group settings appears.
    The number of Standard licenses by workflow participation & permissions (Effective) and the number of Standard licenses by permissions only (Required) are shown above the user table.
  3. If required, you can export these numbers by clicking .
    A CSV file will download.

Note You can add the column, Latest workflow participation to see when a user last took part in a workflow, as this participation will require a Standard license.

Number Description
Standard License refers to the type of license. User with the Standard license can create, edit and delete resource as well as participate in workflows. See the User licenses page for details.
The Effective licenses are the number of Standard licenses in use both by permission and by workflow participation. See the User licenses page for details.

Use this icon to export a CSV file with the monthly totals for Effective and Required licenses.

Note There is currently a known issue with Edge only system users consuming a Standard license. We will allow all customers to exceed the license agreement for such Edge only users until this known issue has been fixed.
